Secretariat Department
The Secretariat serves as the administrative backbone of the conference. This team handles official communications, documentation, record-keeping, and coordination between different committees. They ensure that all administrative processes run smoothly and that information flows effectively between team members and stakeholders.
Key Responsibilities: Official correspondence, meeting coordination, documentation, inter-departmental communication, record management.
Programs & Logistics Department
This department is responsible for planning and executing all conference programs and managing logistical requirements. From speaker coordination to venue setup and transportation, this team ensures that every aspect of the conference runs according to schedule and meets quality standards.
Key Responsibilities: Program scheduling, speaker coordination, venue management, transportation, accommodation, social events.
Finance Department
The Finance team manages all financial aspects of the conference, including budgeting, expense tracking, sponsorship management, and financial reporting. They ensure transparent and accountable use of resources while working to maximize the conference's financial sustainability.
Key Responsibilities: Budget planning, expense management, sponsorship tracking, financial reporting, payment processing.
Content Department
This team develops and curates all conference content, including scientific programs, workshops, and educational materials. They work with speakers, researchers, and subject matter experts to ensure the conference delivers valuable, relevant, and engaging content for all attendees.
Key Responsibilities: Scientific program development, abstract management, speaker coordination, workshop planning, educational materials.
Publicity & Communication Department
The Publicity team is responsible for promoting the conference and managing all external communications. They develop marketing strategies, manage social media, create promotional materials, and work with media partners to maximize conference visibility and attendance.
